Data Policy

Rules for submitting, accessing, correcting and managing application records.

Last updated: 6 October 2026

1. Purpose and relationship to the Privacy Policy

This policy sets out practical rules for data and documents used by Flying2Europe accounts, agents, applicants and support teams. Read it together with the Privacy Policy and your written service agreement. It covers the quality, permitted use and handling of information; it does not grant a visa, work permit or employment entitlement. Contact support@flying2europe.com if a request for data is unclear or appears unrelated to your service.

2. Accurate and complete submissions

Provide genuine, current and legible information. Your name, birth details, nationality and passport information should match the official documents used for the application. Review form entries before submitting and report a material change promptly. Do not alter official records, invent employment experience, misrepresent qualifications or submit someone else's details without authority. Incomplete or inconsistent submissions can prevent processing until the issue is resolved.

3. Collect only what the service needs

Document requests must relate to the application, verification, payment, support or legal recordkeeping purpose being explained to you. Do not upload unrelated medical records, bank credentials, private conversations or documents about people who are not involved. If a requested document contains unnecessary information, ask whether a redacted copy is acceptable. Never redact a field that an authority or employer explicitly requires without obtaining guidance first.

4. Identity and sensitive documents

Passports, identity records, financial evidence and other sensitive material require particular care. Use the official account tools or a channel expressly agreed for your application. Confirm the recipient before sending a document. If a request includes health information or another specially protected category of data, the reason, necessity and applicable lawful basis must be addressed for that request. Support tickets are for explaining problems, not for sharing passwords or unrestricted sets of identity documents.

5. Authority to act for another person

An agent, employer or representative must have appropriate authority to submit or manage an applicant's information. The applicant must be informed about the service, recipients and relevant policies. Agent access is limited to the cases and functions assigned to that agent. Do not access another client's account, reuse a client's records for an unrelated application or share client information with an unauthorised colleague. Authority may need to be checked before sensitive changes are processed.

6. Reviewing and correcting records

Use the available account tools to review submitted details and status information. For a correction that cannot be made in your account, contact support with your application reference and a clear description of the error. A corrected document may be required. Once a record has been sent to an independent authority, a correction may need to follow that recipient's own procedure. Earlier versions may be retained where needed to explain the history of a submission or meet a legal duty.

7. Access and permitted use

Client and agent records must be accessed only for authorised application, service, payment or support work. Information must not be copied into public posts, used to impersonate a client or reused for unrelated marketing. Access can be restricted when authority is missing, an account is compromised or a misuse investigation is necessary. Requests for another person's records require suitable authorisation or another lawful basis; an application reference alone is not proof of authority.

8. Sharing with destinations and providers

Employers, embassies, consulates, authorised partners and technical providers may require specific information to perform their role. Sharing must be connected to a defined service and limited to the information relevant to that role. Recipients may keep their own records under their own policies. Ask support which recipient will receive a document and whether a destination-specific consent or notice is required before submission.

9. Retention, backups and disposal

Retention should follow the purpose of the record, applicable legal duties and the need to resolve disputes or security incidents. Temporary copies and working documents should not be kept indefinitely without a purpose. A deletion request must be assessed against these duties; information in backups may remain until the relevant backup cycle expires and must not be reused for an unrelated purpose. You may request the retention period for a particular document type from support.

10. Exports, account closure and rights

You can request access to or a copy of records linked to your account, subject to applicable law and proportionate identity verification. Where available, use the account tools before asking support for assistance. Account closure and cancellation of a service are separate requests: closing the account does not itself cancel an authority submission or refund a payment. Applicable privacy rights, including correction, restriction and deletion, are explained in the Privacy Policy.

11. Reporting an error or security concern

If a document is attached to the wrong application, a record is exposed to an unintended person or you suspect unauthorised access, contact support promptly. Describe the account, approximate time and nature of the issue without repeating unnecessary sensitive information. Avoid forwarding another person's documents as evidence unless support provides a suitable channel. Any required security assessment, containment and notification must follow the law applicable to the incident.

12. Updates and contact

This policy applies to website records and the service workflow described above. Additional requirements may apply to a particular country, employer or authority and must be communicated for that service. Changes to this policy must not be used to remove rights already provided by law. For a data request, contact support@flying2europe.com, call +351 920 706 948 or use Submit Ticket from the Support menu. Include your application reference where available.
